The Challenge
While the client already had a structured offline accommodation programme in place, it faced challenges common to many mature corporate travel functions:
- Cumbersome and time-consuming manual processes
- Inability to source accommodation internationally for ad-hoc needs for the UK team
- Escalating costs amidst inflationary pressures
- Siloed management across graduate travel, mobility, talent deployment and events
- Limited transparency in supplier performance and reporting as well as management of individual partners
- A task-based, transactional approach to service delivery with minimal accountability for outcomes

This resulted in the full transition from a blue-sky vision into a co-designed implemented programme within three months - a record implementation timeframe for an organisation of this size.
The AltoVita Solution
AltoVita co-designed bespoke technology solutions tailored to the client's needs. These included:
- Fully integrated API connectivity with the client's internal systems, single Sign-On (SSO), HR feed integration, and custom menu configurations based on user role
- AltoCurate and AltoSearch, providing an intuitive and personalised booking interface with various access points for bookers and employees
- Onboarding and connectivity of preferred partners allowing live availability, negotiated rates and automated booking flow
- Compliance: Quality control review (Breezeway Safety Inspection), sustainability practice across preferred supply chain with AltoVita's EcoStats feature on real-time tracking of CO₂ emissions


Delivering Measurable Impact and Cost Efficiency
Compared to the client's previously fragmented approach, AltoVita's consolidated accommodation programme delivered up to 30% cost-reduction, leading to more than £255,000 in savings. Thanks to rate negotiation from AltoVita's increased purchasing power, 2023 rate caps were maintained, despite inflationary pressures and average daily rates were reduced by 14%.
Since its launch, the programme has supported over 1,900 bookings and 55,000+ room nights booked, all while reducing the average booking processing time from 24 to just 4 hours. These operational efficiencies and cost savings were achieved without compromising on quality, with a strong focus on guest experience—reflected in a 98% employee satisfaction score.

Duty of Care and Risk Management
Integration with International SOS enabled live travel alerts, pre-travel risk guidance, and improved traveller tracking. Additionally, AltoVita implemented Breezeway Verification Reports to ensure supplier compliance with safety standards. Within five months, 43% of the client's preferred accommodation providers had adopted this verification model.
Global Reach with Local Support
Initially UK-focused, AltoVita expanded support to global relocations - including Australia, India, South Africa and the Middle East - ensuring consistent, agile delivery with dedicated regional resources.
The programme evolved from reactive service fulfilment to an outcome-based model powered by automation, 24/7 guest support, and clear service-level accountability. This transition aligned with the firm's broader strategy to be “human-led and tech-enabled.”
