The Challenge

 

NEI Global Relocation followed a high-touch, multi-channel process when booking accommodation for their clients’ employees, relying on emails and partner coordination to manage bookings. While this approach supported personalised service and trusted relationships, it also created opportunities to increase speed and visibility as volumes grew. Constant back-and-forths with clients and their employees often caused delays, creating a risk that suitable properties could become unavailable. While the company had numerous trusted partners, there was no centralised system to oversee property inventory or streamline operations. This distributed approach limited real-time oversight and made it increasingly difficult to track performance across multiple programmes.

The AltoVita Solution

Enter AltoVita, a tech-driven accommodation platform designed to streamline the entire accommodation process. Responding with speed and agility, AltoVita developed a solution tailored to NEI’s needs, which was later rolled out to other clients. Leveraging its newest product, AltoCore Fully Managed, the platform is ideal for clients with long-standing partner relationships. Through ongoing collaboration and feedback between AltoVita’s product team and NEI’s Assignment Executives, the solution not only streamlined bookings, but also improved operational efficiencies, saved time, and enabled data-driven decision making.

AltoCore Fully Managed: Your Command Centre for Accommodation Supply Chain Management

Co-designed with NEI Global Relocation, AltoCore Fully Managed empowered NEI Assignment Executives to work seamlessly with preferred partners while unlocking access to AltoVita’s global inventory of 7 million vetted properties. 

With minimal setup, AltoVita onboards a list of preferred suppliers, applies negotiated rates where appropriate, and streamlines accommodation sourcing, booking, invoicing and reporting in one centralised platform

This consolidation of the supply chain reduced email traffic, accelerated the booking process, and delivered real-time insights (e.g., win rates, reasons for lost bookings, average daily rates) to both NEI and their accommodation partners, driving cost efficiencies and enabling smarter, data-driven decisions.

Collaborative Development of AltoCore Fully Managed

NEI has been one of AltoCore’s most active partners, playing a pivotal role in refining and enhancing the product. Through monthly meetings, NEI’s Assignment Executives provided valuable feedback that helped AltoVita deliver impactful customisations, improving their own experience while also offering ideas for features that benefit other clients. This collaborative process has strengthened the partnership and ensured that AltoCore Fully managed provides the greatest value to NEI and the wider client community.

Streamlined Onboarding and Fast Adoption

All of NEI’s preferred partners were uploaded into AltoCore, ensuring seamless access to their trusted network. A Preferred Property badge allows NEI’s Assignment Executives to instantly identify and select preferred partners, while features such as partner win rates and percentage of preferred properties booked provide greater visibility into performance and usage patterns.

Comprehensive onboarding and training of NEI’s Assignment Executives drove rapid adoption, with 92.5% of booking requests submitted through AltoCore since its launch. Usage continues to trend upward, with a 25% increase in bookings in the last quarter. All teams have reported a significant reduction in email exchanges during the booking process, saving valuable time and ensuring a smoother workflow.

AltoCore Fully Managed has delivered efficiencies for NEI and its ecosystem by streamlining processes and enabling seamless collaboration with existing partners, while maintaining end-to-end visibility and control. For NEI Account Executives, the platform has reduced email traffic and improved response times, resulting in a 19% decrease in average request-to-quote time. This efficiency translates directly to client value, with faster bookings, more competitive pricing through pre-negotiated rates, and enhanced service quality powered by data-driven insights.

The results speak for themselves: a 75% conversion rate, more than 32,000 nights booked since its launch in March 2025, and seamless international group moves that delivered cost savings of over $88,000. Satisfaction levels remain consistently high, reflected in a 100% Property Provider Score.

Looking ahead, the collaboration will continue to focus on driving operational efficiencies and cost savings. Future plans include delivering additional product enhancements and customisations as well as setting up APIs to streamline booking requests and reporting. Expansion is also underway to onboard additional preferred inventory in the US, giving NEI greater visibility into booking percentages with their trusted partners. AltoVita’s dedicated team will continue working hand-in-hand with NEI’s Assignment Executives to ensure service excellence and meet evolving client needs across all regions.
