About our Client
The Challenge
In response to rising travel costs and post-pandemic employee expectations, our client introduced a new approach to optimise spend and enhance traveller well-being.
Policy Shift: A new "Travel less, stay longer" policy encouraged extended stays and a move away from hotels in favour of serviced accommodation for trips that are longer than 4 nights. This aligned with a broader cultural shift within the company to support work-life balance and promote more home-like, comfortable stays.
Operational Inefficiencies: Existing booking processes were heavily manual, relying on emails and spreadsheets. Their previous provider lacked the technology and infrastructure to streamline workflows and provide quick access to an already approved inventory.
Need for Technology & Data: Access to data was critical for the company’s travel team as they required better visibility to support informed decision-making, track policy compliance, and demonstrate the impact of the new travel strategy across the organisation.
These challenges led the organisation to launch an RFP process, ultimately selecting AltoVita as its preferred partner.


The AltoVita Solution
Enter AltoVita - a tech-first accommodation platform built to streamline and simplify every aspect of the corporate booking process. After successfully winning a competitive RFP and meeting rigorous technology and security requirements, AltoVita onboarded the organisation, with the partnership officially launching in December 2024.
Consolidating a Global Property Inventory
A dedicated AltoVita product team worked closely with the client to onboard their existing accommodation partners onto the platform. This not only involved managing property listings, but also fully integrating key processes like invoicing and reporting. To diversify its network, the company also took advantage of AltoVita’s global inventory of over 7 million vetted properties. AltoVita supported the selection process by arranging and attending site visits in London, ensuring each property met our client’s standards and policy requirements. The result: a compliant supply chain with zero service escalations recorded so far.


Beyond supply chain consolidation, AltoVita also supported the organisation with rate negotiations across the UK and APAC regions, delivering exclusive, capped rates tailored to our client’s travel programme. In less than a year, our client booked a total of 1419 nights with a global average daily rate of £156, operating 8% below budget. To date, 65% of bookings have been made with the company’s preferred properties.
Pre-Vetted Accommodation for Duty of Care
Safety and security were top priorities in the RFP. AltoVita’s comprehensive four-tier vetting process provided the assurance they needed. Each property in the organisation’s preferred inventory undergoes rigorous checks to ensure quality, safety, and compliance with corporate travel standards. This robust framework not only supports our client’s duty of care obligations but also ensures a consistent, high-quality guest experience across all accommodations.


Leveraging Data & Technology
AltoVita equipped the organisation with the right tools to track and optimise their accommodation programme. Through AltoInsights, AltoVita’s data and analytics reporting tool, our client gained full visibility into key metrics and financials across regions - helping the team compare hotel vs. serviced apartment spend, monitor booking trends, and enforce policy compliance. With an average stay length of 13 nights, our client can clearly track performance by property type, with data confirming that serviced apartments rank among the top-booked options.
Additionally, AltoVita’s new EcoStats dashboard also allows the organisation to gain an understanding of their environmental impact, track their carbon emissions and report on their sustainability targets.
As our partnership evolves, the focus is on scaling through API integration, enabling seamless data transfer, automated reporting, and a more streamlined experience. The company will continue to promote serviced apartments as the preferred option for longer stays, aligned with both budget and sustainability goals. While some travellers remain more inclined toward hotels, our client is exploring new ways to educate employees on the comfort, safety, and advantages of serviced apartments in order to drive wider adoption across the organisation.
