The Challenge
Our client needed support for its intern housing programme, specifically coordinating group moves of 23 interns across two U.S. locations during the summer peak season. The project required housing in remote, high-demand areas with limited inventory, adding pressure to meet tight timelines in a competitive market. A particularly challenging case was the Glastonbury assignment, where 20 interns needed to be housed together in the same building for 90+ nights, in a market with limited high-quality corporate housing and high setup costs.

AltoVita deployed its strategic sourcing capabilities to secure high-quality accommodation, with the bulk of booked nights in Glastonbury, CT. Through targeted sourcing and negotiation, we secured a partnership with a premium extended stay property in the Hartford area, achieving more competitive pricing and terms than through the traditional corporate housing network. This approach ensured negotiated rates for the group were within the client’s budget and below market prices, even during the peak summer season, while maintaining quality and convenience for interns.


Streamlining Bookings & Operations with AltoCore
AltoVita strategically partnered with our client’s RMC to manage all aspects of intern housing logistics using AltoCore, our supply chain accommodation management platform. Through AltoCore, the RMC’s Account Executives were able to shortlist and book accommodations in a fully streamlined process, leveraging the platform’s Group Bookings feature and Case Management tools within AltoVerse for fast, flexible execution.
The collaboration delivered measurable benefits for both our client and its RMC:
- Over 2,600 room nights booked, with an average stay of 80 nights
- 13% cost savings achieved through negotiated rates, securing pricing below market rates even in high-demand locations and during the summer peak season
- 19% decrease in average request-to-quote time, boosting efficiency for RMC Account Executives by reducing email traffic and accelerating turnaround

AltoVita’s Director of Customer Success travelled to the location to meet and greet the group and conduct a property walkthrough, adding a personalised touch and ensuring high-quality standards for all interns. Our partnership went far beyond logistics. AltoVita’s team consistently delivered proactive support and problem-solving to ensure a smooth guest experience. Below are two examples demonstrating this commitment:
- Flexible Payment Terms: When an intern experienced a family bereavement and needed to leave abruptly, AltoVita cancelled the booking from the date notified, avoiding any cancellation charges, and arranged packing and shipment of her belongings back home.
- Advocating for Interns: When another intern was charged $250 by a hotel for alleged room damages, our team quickly gathered time-stamped photo evidence, escalated the issue with the hotel, and successfully reversed the charge, ensuring fairness and peace of mind.
