Q4 2026 Travel Alert: Planning Ahead for Peak Accommodation Demand

The final quarter of 2026 brings a broad spread of major events across Asia-Pacific, the Middle East, Europe and the Americas, running almost continuously from late September through to mid-December.

For travel and mobility managers, the volume and geographic spread of Q4 events makes timely planning particularly important this year.

This blog covers the key events shaping accommodation availability and rates across Q4, with guidance on how to manage your programme effectively in each market.

Key Global Events to Watch this Quarter

Asian Games

19 September – 4 October, Nagoya & Aichi Prefecture, Japan

The Asian Games will bring a significant influx of international athletes, officials, media and spectators to the Nagoya and Aichi region across two weeks. Japan's accommodation market is already characterised by limited supply, particularly in major urban centres, and the Asian Games will place additional pressure. Standard corporate rate agreements may not hold during the event window.

Travel Guidance:

Nagoya and Aichi accommodation requirements should be treated as urgent regardless of travel dates within the event window. Review all Japan travel needs for late September and early October now, and consider positioning travellers in Osaka or Kyoto where proximity to Nagoya is not essential. Confirm ground transportation arrangements in advance, as public transport across the region will be operating at capacity during peak event days.

Formula 1 Malaysian Grand Prix

2 – 4 October, Sepang, Malaysia

The Malaysian Grand Prix returns to the Formula 1 calendar at Sepang, bringing a significant influx of visitors, media and corporate hospitality groups to the Kuala Lumpur region across race weekend. While Kuala Lumpur has a deeper hotel inventory than many other Formula 1 host cities, demand around the circuit and across the wider Klang Valley will be meaningfully elevated during this period, particularly in areas with convenient access to Sepang International Circuit.

October is also an active month for corporate travel across Southeast Asia, meaning race weekend demand lands on top of an already busy market.

Travel Guidance:

Accommodation in the city centre and business districts will see rate increases and reduced availability as the event approaches. Transfers to and from Kuala Lumpur International Airport should be pre-booked, as race weekend traffic in the Sepang corridor will affect journey times across the wider region.

Formula 1 Singapore Grand Prix

9 – 11 October, Singapore

The Singapore Grand Prix is one of the most high-profile events on the Formula 1 calendar and consistently one of the most disruptive weekends for corporate travel in Southeast Asia. The Marina Bay Street Circuit runs through Singapore's central business district, meaning that race weekend restrictions affect movement across a significant portion of the city.

Accommodation in the Marina Bay area sells out well in advance at significant premiums. Singapore's hotel rates are among the highest in the region at any time of year, and the Grand Prix adds a considerable uplift on top of the standard market rate.

Travel Guidance:

Orchard Road and districts further from the CBD offer alternatives, though these too will see elevated demand during race weekend. Movement in the Marina Bay area will be significantly limited across the race weekend itself. Ground transfers should be pre-booked and ground travellers should be briefed on CBD access restrictions ahead of departure. Travellers with early departures or late arrivals during race weekend should consider Changi Airport hotel options.

Melbourne Cup

3 November, Melbourne, Australia

While the Melbourne Cup itself takes place on a single day, its accommodation impact extends across the full Cup Week, running from 31 October through 6 November. Melbourne has a substantial hotel inventory by Australian standards, but Cup Week consistently pushes occupancy to capacity across the city. Rates rise across the board, and availability in central Melbourne becomes limited as the week approaches.

The public holiday on 3 November will also affect business operations across Victoria, which is worth factoring into meeting schedules and itinerary planning for any travellers visiting the city that week.

Travel Guidance:

Where travel dates are flexible, arriving from 7 November onwards will present a significantly easier availability and rate environment. For travellers who do need to be in Melbourne during Cup Week, securing accommodation now is the most effective way to protect both availability and budget.

COP31 — UN Climate Conference

9 – 20 November, Antalya, Türkiye

COP conferences consistently generate some of the most concentrated accommodation demand of any annual event in the international calendar. Government delegations, NGOs, international press, and corporate sustainability teams converge on a single city for nearly two weeks, creating a demand profile that is both large in scale and highly focused geographically. Antalya's five-star supply is limited relative to the attendance that COP events typically attract, and political rate protocols may override standard corporate agreements during the conference period.

Travel Guidance:

For any programme sending delegations to COP31, accommodation should already be under active management. Begin stakeholder conversations now about budget flexibility for the conference period, and monitor government travel advisories for Türkiye as November approaches. For non-essential delegation members, Belek or Side may offer a practical base with daily transfers to the venue, but these locations will also experience increased demand as the event approaches.

Formula 1 Abu Dhabi Grand Prix

6 December, Abu Dhabi, UAE

The Abu Dhabi Grand Prix traditionally closes the Formula 1 season and coincides with the beginning of the UAE's peak winter season. Yas Island accommodation will be sold out well in advance, but the impact extends beyond the circuit itself. Dubai absorbs a significant volume of race weekend visitors, meaning that travellers with business in Dubai in early December will also face elevated rates and reduced availability alongside those travelling specifically for the race.

Travel Guidance:

All UAE accommodation for the first two weeks of December should be confirmed immediately. Travellers with business in Dubai rather than Abu Dhabi should be made aware that race weekend demand will still affect their market. For year-end financial travel to the UAE, rate contingency should be built into programme budgets.

G20 Summit

14 – 15 December, Miami, USA

Miami's accommodation market in December already operates at elevated rates, driven by peak winter leisure demand and year-end corporate travel. The G20 Summit adds government-rate competition, security perimeter restrictions and significant media presence to an already busy market, making central Miami one of the most compressed demand environments of the entire quarter.

Travel Guidance:

The Downtown and Brickell corridors will experience severe vehicular and transit disruptions due to security arrangements around summit venues. Delivery delays, perimeter access, and commute times may be impacted. Coral Gables, Coconut Grove, and Fort Lauderdale offer strategic alternatives with workable transit access into central Miami. However, because luxury inventory in these submarkets also experiences high seasonal leisure demand in December, accommodations must be secured well in advance. Fort Lauderdale-Hollywood International Airport (FLL) serves as a practical alternative to Miami International Airport (MIA) for travelers staying north of the city center or looking to bypass core diplomatic transit delays.
